Event Management (Opportunities in 2010-2011)

The Event Management function contributes directly to the successful delivery of two annual culinary festivals produced by the Hilton Head Hospitality Association. General responsibilities include overseeing logistics and contracts associated with the festivals.  This is a professional opportunity requiring strong written and verbal communication, analytical, and interpersonal skills. The work involves partnerships with steering committee volunteers, HHHA staff, and contractors. The work also requires the exercise of extensive discretion and independent judgment.

Responsibilities include planning and overseeing logistics, food and beverage, a/v, researching site selection and negotiating necessary contracts with vendors and other suppliers, signage, transportation, working with volunteers and appropriate staff, budget management, generating reports, and providing general administrative support.

The individual(s) or company serving in this capacity will have experience in contract negotiations and event planning. As well, they will possess strong project management, and problem solving skills. Excellent interpersonal, oral and written communication skills are an important function of this role.  This individual must have the ability to work independently as well as with a team and demonstrate strong attention to detail, multi-task, prioritize and possess excellent organizational skills.

  • Serves as the primary liaison(s) to the Producer/HHHA Executive Director on all event-related matters.
  • Manages the development and review of event-related contracts.
  • Reviews event-related expenditures and invoices and tracking expenses to ensure they remain within the established budget.
  • Works collaboratively to develop event-related programs and activities.
  • Oversees all event logistics, in conjunction with and the approval of the Producer/Executive Director

QUALIFICATIONS: Education/Experience. Individual or principals should hold Bachelor's degree in relevant professional field preferred with a minimum of three years event planning experience required, but will consider firms and/or candidates with a combination of experience and training that provides requisite skills. Certified Festival Planner (CFP) or Meeting Planner (CMP) designation preferred.

The Events Manager shall be employed by and reports directly to the Producer/HHHA Executive Director.

COMPENSATION: Commensurate with Experience.  Will include:

  • Reimbursement of mileage and expenses associated with conducting business during the contract period on behalf of the festivals that has been approved in advance by the Executive Director.
